To ensure you make the most of your communication capabilities, make sure to follow the best practices and tips below!
Improving Email Delivery And Performance
It is important to optimize engagement in email communications being sent from Wellable to participants as this strongly correlates with sustained program participation. To optimize email delivery and performance (open and click rates), follow the Wellable Allowlist Instructions, which will direct you to send your IT department an email instructing them to “allowlist” email communications sent from Wellable. This ensures emails go straight to the inbox of participants, not their junk/spam folder. The instructions will also help you set up a From Email Name and From Email Address.
Send Test Emails / Preview Bulletin Board
The Admin Account gives you the ability to send test emails prior to scheduling them to be sent as well as preview a Bulletin Board prior to publishing it. These features were created to ensure the outputs Users experience are exactly what you envision. When sending test emails and/or previewing a Bulletin Board, make sure to review the outputs of Personalization Tokens and test hyperlinks by clicking them.
Insert Images And Hyperlinks
Images enhance the readability and aesthetics of emails and Bulletin Boards. By using images to convey information and/or create “sections” within longer communications, you will be able to increase the effectiveness of emails and Bulletin Boards. The Admin Account offers a wide variety of stock images that are available for you to use as well as the ability to incorporate your own images through the Image Library.
If you need some inspiration on how to effectively incorporate images into communications, contact your Account Manager, who will be able to send you some examples of great communications that utilize images to better deliver the message.
Hyperlinks also enhance the readability and aesthetics of emails and Bulletin Boards. By hyperlinking images and/or text to external resources like webpages, hosted files, and email addresses, you will be able to convey information while minimizing the length of the communication. To hyperlink an image or text, select the image/text, right click to open a menu and select Link. Paste the URL to the URL field and select OK.
Create An Email Schedule With The Wellable Scheduling Tool
Planning email communications in advance ensures that a cohesive strategy is implemented when delivering important information to Users. The Wellable Scheduling Tool will help you determine the dates for scheduling communications before, during, and after a challenge. After downloading the Scheduling Tool, input the Start Date (cell D4) and the number of weeks (cell D6). The number of weeks must be a whole number and greater than zero. You will be able to use this tool anytime you are planning a challenge and creating an email timeline.
After creating a communication schedule from the Scheduling Tool, you will need to select the times for when emails will be sent out. Since weekly update emails include activity data and stats through the end of the previous day, it is best to schedule these emails on or after 12 PM local time. This allows users to sync their apps and devices prior to the email being sent, ensuring the latest data is reflected in the communication. To create consistency in email delivery, other emails should also be sent at 12 PM local. The only exception is the Challenge Launch email, which should be sent at 9 AM local time. This is so participants make sure they are logging activity in the morning of the first day of the challenge.
Leverage The Challenge Library
Creating challenges and delivering communications can be tough. To make this as easy as possible, you can always use one of Wellable’s turnkey challenges, which can be accessed via the Challenge Library. These challenges are designed by Wellable’s wellness specialists and include a variety of themes, all the communications you will need, and recommended reward structures. It is the easiest and lowest maintenance way to launch a wellness challenge. Connect with your Account Manager to launch one of these challenges.
Remove Highlighting In Challenge Library Communications
All challenges in the Challenge Library include suggested reward structures. If you do not make any changes to a challenge’s suggested reward structure, the only required edits will be populating the prize details highlighted in yellow, which will be located in the Prizes section of various challenge emails as well as the Bulletin Board. Additional areas of communications that require the populating and removal of highlighting include the announcement of prize winners and, if applicable, team registration deadline and team registration form submission email address.
Below are instructions to remove the yellow highlighting from communications once you have filled in the necessary information.
- Select the text to remove highlighting.
- Select ▼ next to Background color > No color from the toolbar in the online rich-text editor.
